Privacy Policy
This policy explains what information CabinLedger collects when you visit our website or use the product, how we use it, and the choices you have. Effective date: August 3, 2026.
CabinLedger ("we", "us", or "our") operates the website at cabinledger.com and the cabin and short-term rental analytics service available at app.cabinledger.com (together, the "Service"). This page informs you of our policies regarding the collection, use, and disclosure of personal information when you use the Service.
1. Information we collect
We collect a few different kinds of information so the Service works. We collect only what we need to run the product and to communicate with you — nothing else.
1.1 Account information
When you sign up, we collect the email address and password you provide. If you choose a paid plan, your name and billing details are also associated with your account. We do not collect government identifiers, addresses, or phone numbers from any visitor or signed-in user.
1.2 Booking and property data you log
The Service is built around the data you choose to add: cabin properties, individual booking records, and any notes or metadata you attach (party size, platform, channel, ADR, cleaning fee, etc.). This is the core of what the product stores for you, and you can export or delete it at any time from your account settings.
1.3 Payment information
When you sign up for a paid plan, payment is collected and stored by our payments processor, Stripe, acting as the merchant of record for those charges. CabinLedger never sees your full card number, expiration date, or CVC. We only ever receive from Stripe the last four digits of the card used, the card brand, the billing country, and whether a charge succeeded — enough to show you receipts and handle cancellations, never enough to charge you again without going back through Stripe's hosted checkout.
Because CabinLedger is built on Polsia's hosted-app platform, payments are processed through Polsia's Stripe billing module rather than a Stripe account we operate ourselves. The same data handling applies: card data is processed by Stripe, not by CabinLedger.
1.4 Marketing email subscriptions
If you sign up for product updates from a landing-page form, we store your email address in our email_subscribers table along with the source of the signup. We use this list only to send the CabinLedger newsletter and occasional product announcements. We do not rent, sell, or share the list with third parties. Every email contains an unsubscribe link, and you can unsubscribe at any time.
1.5 Analytics
We collect two kinds of analytics data:
- Polsia visitor beacon. When you load any page on cabinledger.com, our hosting platform's pixel runs and assigns a random visitor ID stored in your browser's localStorage. This tells us how many distinct visitors we get, but it does not identify you personally.
- CabinLedger page-view beacons. A lightweight script on each page posts a record to our analytics endpoint containing the path of the page, the referring URL (if any), a random session ID stored in your browser's sessionStorage, and any UTM parameters present in the URL. We use this internally to measure traffic, signups, and UTM attribution. We do not log IP addresses and do not associate this data with your account.
2. Cookies and local storage
We deliberately keep this small. The only things CabinLedger itself stores in your browser are:
polsia_vid— a random visitor ID in localStorage, used by the host platform's analytics beacon.cl_sid— a random session ID in sessionStorage, used by our own page-view beacon for traffic measurement. It's discarded when you close the tab.
When you are signed in, your session cookie is required to authenticate requests to the app. The cookie itself holds only an opaque session token — no personal data.
We do not use advertising cookies, third-party retargeting pixels, or cross-site tracking cookies of any kind.
3. How we use your information
We use the information we collect only to:
- Operate, secure, and improve the Service.
- Process payments and prevent fraud (via Stripe).
- Send account-related emails (signup confirmation, password reset, important product notices).
- Send the CabinLedger newsletter if you've subscribed — never more than a few times per month.
- Respond to support requests when you email us.
- Measure aggregate, de-identified traffic and signup trends.
4. Data retention
Account data, properties, and bookings are stored for as long as your account is active. If you delete your account, we delete your account, properties, and bookings immediately and permanently.
Marketing email subscriptions are kept until you unsubscribe. Anonymous analytics records are retained on a rolling basis and then aggregated or deleted.
Stripe retains billing records according to its own retention policy, which is available at stripe.com.
5. Your rights: access, export, delete
You can, at any time:
- Access the personal data we hold about you — most of it is visible inside the app.
- Export your properties and bookings as a CSV file from your account settings.
- Delete your account and all associated data from your account settings. This is immediate and irreversible.
- Unsubscribe from marketing email via the unsubscribe link in any newsletter email.
If you would like to exercise any of these rights and can't do it through the app, email support@cabinledger.com and we'll respond within one business day.
6. Children
The Service is intended for adults operating rental businesses. We do not knowingly collect personal information from anyone under 16. If you believe a child has provided us with personal information, please contact us so we can delete it.
7. Changes to this policy
If we make material changes to this policy, we will update the "Effective date" at the top of this page and, for significant changes, notify active subscribers by email. We encourage you to review this page periodically.
